Purpose

The purpose of this policy is to outline the principles, processes, and responsibilities for effective capacity management within the tecciance Environment hereby collectively referred to as tecciance. Capacity management is an essential component of IT service delivery and operations, as it ensures that the IT infrastructure and services have the necessary capacity to meet the agreed-upon business and user requirements. The objective of capacity management is to optimize the utilization of IT resources and minimize waste, while also avoiding overprovisioning and underutilization.

Scope

This policy applies to all IT infrastructure and services, including servers, storage, networks, databases, applications, and cloud computing resources within tecciance. It also applies to capacity planning and management activities, such as performance monitoring, utilization analysis, capacity forecasting, and resource allocation.

Policy

  • Align capacity management with business objectives and priorities.

  • Plan for capacity needs based on historical trends, forecasted demand, and business requirements.

  • Monitor the utilization of IT resources and performance metrics in real-time through Google Cloud Platform.

  • Continuously assess and evaluate the capacity needs and adjust accordingly.

  • Maintain an appropriate level of spare capacity to manage unexpected spikes in demand. Optimize the utilization of IT resources and minimize waste.

  • Regularly review and update the capacity management plans and processes.

Responsibilities

  • IT Operations team: responsible for the day-to-day monitoring and management of IT resources. IT Planning and Strategy team: responsible for long-term capacity planning and forecasting.

  • IT Service Management team: responsible for ensuring that the capacity management plans align with business requirements and service level agreements (SLAs).

  • IT Security team: responsible for ensuring the security and compliance of IT resources.

  • Business units and departments: responsible for providing accurate and timely information on their capacity, needs and requirements.

Procedure

  • Capacity Planning:

  • This process involves forecasting the capacity needs of IT resources based on historical trends, demand projections, and business requirements. The IT Planning and Strategy team should work with business units and departments to gather data and make informed decisions about future capacity needs.

  • Performance Monitoring:

  • Regular monitoring of the utilization and performance of IT resources is essential to detect potential issues and identify opportunities for optimization. The IT Operations team should use tools and techniques such as performance monitoring software, capacity utilization reports, and trend analysis to monitor the health and performance of IT resources.

  • Capacity Forecasting:

  • Predictive analysis of future capacity needs based on historical data and business trends. The IT Planning and Strategy team should use forecasting techniques such as time-series analysis, regression analysis, and Monte Carlo simulations to make informed predictions about future capacity needs.

  • Resource Allocation:

  • The process of assigning and managing IT resources to meet the capacity needs of different business units and departments. The IT Operations team should use tools and techniques such as resource allocation algorithms, capacity planning software, and load balancing to allocate resources effectively and efficiently.

  • Capacity Review:

  • A regular review of the capacity management plans, processes, and practices to identify areas for improvement and make changes as needed. The IT Planning and Strategy team should lead this process and involve all relevant stakeholders, including business units and departments, IT Operations, IT Service Management, and IT Security.

  • Optimization:

  • The process of making changes to IT resources to improve performance, utilization, and efficiency. This can include activities such as reconfiguring servers, storage, and networks, provisioning additional resources, and retiring or decommissioning underutilized assets.

  • Incident and Problem Management:

  • IT Operations should have procedures in place to manage incidents and problems related to capacity, including escalation procedures, root cause analysis, and reporting.

  • Capacity Forecasting and Reporting:

  • The IT Planning and Strategy team should regularly report on capacity utilization and provide forecasts of future capacity needs. These reports should be shared with business units and departments and used to inform capacity management decisions.

  • Resource Management:

  • IT Operations should have processes in place to manage the allocation and utilization of IT resources, including resource utilization reporting, capacity planning and forecasting, and resource allocation algorithms.

  • Security and Compliance:

  • IT Security should have processes in place to ensure the security and compliance of IT resources, including access control, data protection, and risk management.
